This photo tutorial with help show you how to change text in the 'editable text fields' of your editable PDF printables. With all of my editable printables you will need to open them with the FREE Adobe Acrobat Reader. This tutorial uses the latest FREE version of Adobe Acrobat Reader DC. If you have an old version or need to install it for the first time, you can download it here. 

EDIT PRINTABLE TEXT

HOW TO

...editable printables...

OPEN PRINTABLE PDF - 

 

AFTER OPENING ADOBE READER -

1. Click on FILE > OPEN...

 

2. Navigate to where you downloaded 
your printables

 

3. Click OPEN...

 

NOTES -  
DO NOT open your PDFs by double-clicking
them from your computer's desktop. Doing this will open the PDF with your computer's default PDF viewer. When this happens it MAY CORRUPT the PDF file, and the only fix for this is to RE-DOWNLOAD the PDF again and open the NEW PDF through Adobe Reader.

 

I DO SUGGEST - making Adob Reader your DEFAULT PDF READER... then when you open a PDF it will ALWAYS open in Adobe REader and you won't have any issues with your PDF. Here is my tutorial showing you how to do this. 

 

 

BEST PRACTICE: ALWAYS, open Adobe Reader, then open the editable PDF.

HOW TO EDIT TEXT - 

All of the fonts used in my printable PDFs have been embedded into the PDF. This means you don't have to download the fonts. BUT... if for some odd reason the fonts are not working correctly for you - - it is because the either you're not using Adobe Reader... or... you are using Adobe Rader, but it was FIRST opened using a different PDF reader - - for either of these, you will need to RE- DOWNLOAD your PDF printable and start over... and ONLY open it using the FREE Adobe Reader.  

THE BEST WAY, I'VE FOUND TO EDIT TEXT:

1 - Highlight JUST the text you want to change...

 

2 - Type the wording you want to use...

 

3 - Repeat this to each editable text field...

 

NOTES - 

> You can - delete text, leaving extra spaces... 


It's not a good idea - to highlight all the text at once, doing this can change the PDF's embedded formating. To fix this, you will need to either 1 - close the PDF WITHOUT SAVING... or... 2 - Dowload a
NEW PDF, & start over.

BEST PRACTICE: Highlight one line at a time... or... even one word at a time - because some text areas have different fonts and/or different size fonts being used within the text block.

 

HOW TO SAVE - 

After making all of your changes, you need to save you PDF printable file.

BEST WAY TO DO THIS -

1 - Click on File > Save As

 

2 - Choose where to save the PDF file... either on your computer, a recent folder or a different folder.

 

3 - Change the PDF file name - This is always a good ideas so then you will always have the original PDF to go back to if you need it. .

 

4 - Click SAVE.

 

NOTES - 

> If you are - taking your PDFs in to be printed and you need them on a flash drive... you can do this now. 

HOW TO PRINT AT HOME - 

 

BEST WAY TO DO THIS --

1 - Click on the Printer icon button.

 

2A - Edit quantity, if you are printing more than one.

 

2B - Click on 'ACTUAL SIZE'.

 

3 - Click PRINT.

 

 

NOTES -  

> If you know your printer well  - there are other settings you can make for the best quality print. BUT THIS IS the quickest way to to print. If you need to make printer changes, check out your owner's manual (which you can find online).

HOW TO CHANGE TEXT SIZE - 

With MOST editable PDFs you will be able to change the text field text sizes... larger or smaller. This feature does vary, from font to font...  used in my printable PDFs. This feature is great if you want to enlarge your wording so it stands out more... OR... if you need more space to type in more text, you can reduce the font size. Download this tutorial here.

BEST WAY TO CHANGE TEXT SIZE - Larger or Smaller -

1. Highlight text you want changed


2.  Press CONTROL+E on a pc, (or

COMMAND+E on a mac) to open the

FORM FIELD TEXT PROPPERTIES

Menu Bar shown above

 

3. On Menu Bar, click MORE - this will bring a MENU BOX.

 

4. Click on the SIZE BOX, here you will type the size font you want to use or use the dropdown sizes. Do this until you have the font the size you want.

 

5. The text will change to the size you have chosen.

 

NOTE: The embedded text blocks CANNOT be changed, so your text must fit within the text block area.

Also... if there is a “+”  at the bottom right of the text block - your font is too large and you need to reduce the font size.   

HOW TO CHANGE TEXT COLOR -

With MOST editable PDFs you will be able change the color of the text. Download this tutorial here.

REMOVING SHADED BOXES - 

Once your PDF is open, you will see some shaded boxes over the 'editable text fields'. These boxes simply let you know which text areas you can personalize. But don't worry, they won't print... they are just there to help you! This step is ro remove the shaded boxes, it is an optional step. 

BEST WAY TO CHANGE TEXT COLOR - Larger or Smaller -

1. Highlight the text you want to change.


2.  Press CONTROL+E on a pc, (or

COMMAND+E on a mac) to open the

FORM FIELD TEXT PROPPERTIES

Menu Bar shown above

 

3. On Menu Bar, click MORE - this will bring a MENU BOX.

 

4. With new window open, click on "COLOR"

 

5. Click on the "EYE DROP" button

 

 

6. This brings up a magnifying circle, move it around the PDF until you find the color you want to use. Then click on the color.

 

 

7. Once you have the color you want, close the color window, doing this will set the new color.

 

8. Click off the text to see the color change. If you like it, move on. If you don't like it, repeat these steps until you have the color you want.

NOTE: If you know the RGB, CMYK or HEX color numbers for the color you want, you may type them in instead of
using the 'eyedropper'.

 

BEST PRACTICE: Always make sure to close the "color popout window" to ensure the color is set to your change.

 

 

FOR A MAC -
1. 
Click on Acrobat Reader > Preferences

 

2. Click on Forms Category

 

3. Untick "Show Border Hover Color For Fields" Box

 

4. Click OK.

 

FOR A PC - 

1. Go to File >Edit Menu > Preferences

 

2. Click on Forms Category

 

3. Untick "Show Border Hover Color For Fields" Box

 

4. Click OK.
